In a world where the number of emails an individual has to process keeps rising, it is essential to have the tools to manage that flow of information as efficiently as possible. The Kolab Email application is all about handling this ever rising flood of emails while still retaining an overview of what is going on.

Automation

Kolab begins taming the flow of email at the moment of reception. It automatically filters email into folders based on pre-defined criteria set out by the user, preventing users from having to do this manually.

Conversations can be shown in threads, making it easy to see who responds to whom. When responding to emails, pre-defined response templates help to increase response times and save typing the same things over and over again.

Search and Tagging

Powerful full-text search and filtering makes it easy to find specific emails, even across multiple folders. Emails can also be tagged using Kolab's unified tagging system which allows the same tags to be used on events, notes, ToDos, etc.

This turns an organization's email into a comprehensive knowledge base while simultaneously allowing individuals to cope with large amounts of email that may stretch back many years.

Sharing

All the tools that support email efficiency unfold their full power when combined with sharing. Every email folder can be shared with fine-grained access controls. Shared folders for delivery of emails sent to organizational addresses (e.g. "info@" or "sales@") can be created allowing multiple individuals to process these messages as a team.

People may also decide to delegate some or all of their of their email to others, enabling them to write in their name and see the emails received in some or all of their folders.

Groupware Integration

The various features offered by Kolab work together as one seamless whole. Email attachments can be saved directly to the file cloud and files from the cloud can be attached to mails without having to locally download them first, for instance. 

Notes and comments can be attached to emails, allowing one to capture related thoughts and ideas for later use. These notes appear not only in the email view, but also in the Notes application with links back to associated email.

To aid in scheduling, the relevant day's agenda is shown directly alongside event invitations that are received by email. This prevents one from having to leave the email to manually consult calendars, saving time and effort. Calendar events and tasks can also be created directly from emails which will automatically add the information from that email to the task or event.

Out of office responders can be enabled for certain time periods ensure the reminder will be active when it should be – and only then.

Scalability

Kolab's powerful IMAP support allows for millions of users, with different user profiles for quota and storage allocation. Message and attachment de-duplication upon arrival, tagging and server side sorting and filtering allow for advanced performance and usage scenarios.

Everywhere

Wherever people find themselves, their email is accessible to them with Kolab. Kolab's comprehensive email functionality is entirely based on the relevant Open Standards, such as IMAP. This has made it possible to support a wide variety of 3rd party desktop and mobile applications in addition to the Kolab-specific Web Application and desktop apps.

The Kolab Web Application provides access to all of Kolab's powerful features through any web browser, virtually guaranteeing access wherever there is an Internet connection.

Kolab's ActiveSync feature allows virtually any mobile device to be efficiently synchronized and the Kolab desktop applications do the same for laptops, keeping those on the go in touch and connected. Even when network is not available, syncrhonized emails can still be read and replied to for sending when network access returns.
